Privacy Policy
Last updated October 7, 2026
WizMetrix is operated by WizPro Software. This policy explains what information we collect when you use WizMetrix, how we use it, who we share it with, and the choices you have. It is written to describe what the product actually does.
Who this policy covers
WizMetrix is used by three kinds of people, and the policy applies differently to each:
- Customers — the organizations and team members who create accounts, build surveys and training, and pay for plans. For their account data, WizPro Software is the data controller.
- Respondents — people who answer a customer's survey through a link, QR code, kiosk, embed or email campaign.
- Learners — people a customer enrolls in training and who sign in through the customer's branded portal.
For respondent and learner data, the customer organization decides what to collect and why. WizPro Software processes that data on the customer's behalf and under its instructions. If you answered a survey or took a training and have a question about your data, contact the organization that sent it to you. We will help them respond.
Information we collect
Account and organization data
- Name, email address and a hashed password for each team member.
- Organization name, slug, logo, brand colors and, if configured, a custom sending domain and from-address.
- Plan, billing status and subscription identifiers. Card numbers are never sent to or stored on our servers. Payments are collected through WizPay's hosted payment fields, processed by Payroc.
Content customers create
- Surveys, questions, skip logic, themes, welcome and thank-you screens.
- Training slides, uploaded images, video, audio and PDF files, quiz questions, answer keys and rubrics.
- Contacts and contact lists a customer adds or imports (name, email, and any fields in their CSV).
Respondent data
- Survey answers. For anonymous surveys, no name or email is requested or stored. For tracked surveys, the respondent is asked for a name and email at the end, and campaign links tie a response to the contact it was sent to.
- Technical data recorded with a submission for abuse prevention: IP address and browser user agent.
Learner data
- Email address and name as entered by the customer, enrollment status and due dates.
- Which slides were viewed, quiz answers, scores, grades, attempt history and any grader comments.
Automatically collected data
- Server logs that include IP address, user agent, requested pages and timestamps, kept for security and troubleshooting.
- Usage counts (responses, emails, AI requests) used to enforce plan limits.
Cookies
WizMetrix uses only cookies that are needed to make the product work. We do not use advertising or cross-site tracking cookies.
- A session cookie that keeps a team member signed in.
- A cookie that remembers which workspace a member last opened.
- A separate session cookie for learners signed in to a customer's portal.
- A security token on sign-in and registration forms.
Browser storage may also remember small conveniences such as which notifications you have already seen.
How we use information
- To provide the service: deliver surveys, record responses, run training, grade quizzes, send the emails a customer asks us to send, and show results.
- To operate accounts: sign-in, password resets, team invitations, billing and plan enforcement.
- To provide optional AI features: when a customer uses the AI survey builder or AI response analysis, the relevant text (the customer's prompt, or the text answers being analyzed) is sent to Anthropic's API to generate the result. We do not use this data to train models, and these features are only used when a customer explicitly triggers them.
- To keep the service secure, prevent abuse and meet legal obligations.
- To respond to support requests.
We do not sell personal information and we do not use customer, respondent or learner data for advertising.
Who we share information with
We share data only with the service providers needed to run WizMetrix, each bound to process it on our instructions:
- Vercel — application hosting and delivery.
- Neon — the PostgreSQL database, hosted in the United States (AWS us-east-1).
- DigitalOcean Spaces — storage for uploaded logos, images, media and PDFs.
- Twilio SendGrid — delivery of transactional email, survey campaigns and learner emails.
- Anthropic — AI survey generation and response analysis, only when a customer uses those features.
- WizPay / Payroc — subscription billing and card processing.
- Pixabay, Unsplash, Pexels — stock photo search inside the slide builder. Only the search term is sent.
We may also disclose information if required by law, to protect the rights and safety of users or the public, or as part of a merger or acquisition, in which case this policy will continue to apply to the transferred data.
Customers may connect their own systems through webhooks or Zapier. Data sent to those endpoints is governed by the customer's own arrangements with those services.
Where data is stored
WizMetrix is hosted in the United States. If you use the service from outside the United States, your information is transferred to and processed in the United States, where privacy laws may differ from those in your country.
How long we keep data
- Account, organization, content, response and learner data is kept for as long as the customer's account exists, so customers can keep their history and reports.
- When a customer asks us to delete their organization, or we close an account, its data is deleted from our production database. Copies may persist in encrypted backups for a limited period before they are overwritten.
- Server logs are kept for a limited period for security purposes and then discarded.
Your choices and rights
Depending on where you live, you may have the right to access, correct, export or delete personal information about you, or to object to or restrict certain processing.
- Customers can edit their profile and organization details in Settings, export survey results and training records from the product, and request deletion of their organization by emailing support@wizprosoftware.com.
- Respondents and learners should contact the organization that sent them the survey or training, since that organization controls the data. If you cannot reach them, email us and we will assist.
We will respond to verified requests within the time required by applicable law. We will not discriminate against you for exercising these rights.
Security
All traffic to WizMetrix is encrypted in transit with TLS. Passwords are stored as salted bcrypt hashes. Access to production systems is limited to personnel who need it. Learner portal sign-in uses one-time links that expire. No system is perfectly secure, so we cannot guarantee absolute security, and customers are responsible for keeping their own credentials and webhook secrets confidential.
Children
WizMetrix accounts are for adults acting on behalf of an organization. The service is not directed at children under 13, and we do not knowingly collect personal information from them. Customers who use training or surveys with minors are responsible for obtaining any consent their law requires. If you believe a child has provided us personal information, contact us and we will delete it.
Changes to this policy
We may update this policy as the product changes. The date at the top shows when it was last revised. For material changes we will notify customers by email or with a notice in the product before the change takes effect.
